Purchase Terms, Pricing & Payment Conditions

All prices displayed on our website are in British Pounds (GBP) and are inclusive of VAT where applicable. While we strive for absolute accuracy in pricing, errors may occur. In such instances, we reserve the right to correct the price and will notify you before dispatching your order, offering you the option to proceed with the correct price or cancel your purchase terms.

We accept major credit and debit cards through secure payment gateways. Full payment is required at the time of order confirmation. Orders are processed only after successful payment. Delivery times are estimates and subject to product availability. In the rare event a product becomes unavailable after your order, we will contact you promptly to offer an alternative or a full refund. Our service terms regarding delivery and fulfillment are designed for efficiency, ensuring your coffee reaches you fresh and in perfect condition.

Subscription Services & Recurring Billing Terms

Hearthwood Roasters offers convenient coffee subscriptions designed to keep your cup full of fresh, artisan beans. Our subscriptions are based on a recurring billing cycle (e.g., weekly, bi-weekly, monthly) as selected at signup. Your initial payment covers the first cycle, and subsequent payments will be automatically charged to your chosen payment method on the renewal date.

You can manage your subscription, including pausing, modifying, or cancelling, at any time through your account portal. To cancel an upcoming shipment, changes must be made at least 3 days prior to your next scheduled billing date. Refunds for partial subscription periods are not typically offered. For any billing disputes or questions regarding our subscription terms, please contact our customer service team. We aim for transparency in all our service terms.

Booking, Cancellation & Refund Policies

Our barista training workshops and special events require pre-booking. Full payment is generally required at the time of bookings to secure your place. We understand plans can change, so we've established fair cancellation policies:

  • Cancellations made 7 days or more before the event date are eligible for a full refund.
  • Cancellations made between 3 and 7 days before the event date will receive a 50% refund or credit towards a future booking.
  • Cancellations less than 3 days before the event date, or no-shows, are unfortunately not eligible for a refund, as resources and space would have been allocated.

Rescheduling is subject to availability and may incur an administrative fee if done within 72 hours of the event. Please contact us directly to discuss any booking modifications.
